Base vs sharing a Google Drive folder
A shared Google Drive folder hands someone the files. Base hands them the files and a knowledge base built from them: an overview, key facts with their quotes, a timeline, and an endpoint their own AI can query. Drive is the better home for documents your team is still editing. Base is better for a finished set you send to someone outside it, especially someone who will not have Gemini on their Google plan.

When a Drive folder is the better choice
- The documents are still changing and several people edit them.
- Everyone involved is in your Workspace and already has Gemini in Drive. Since April 2026, Drive projects can also gather related files into a shared knowledge base inside Drive.
- You rely on Workspace admin controls such as data loss prevention policies.
When Base is the better choice
- The reader is outside your Workspace, or their Google plan does not include Gemini.
- You want them to understand the material quickly, not just receive a folder. Base reads every document and states what it found, with the quote behind each fact.
- They will work in Claude or ChatGPT rather than Gemini.
- You want a frozen, reviewed package. What a reader sees changes when you publish, not each time someone edits a working file.
- You want to know it was opened. Every plan counts opens and AI connections, and Pro shows who.
Moving files from Drive to Base
Download the files from Drive and drop them into a new Base. Base reads PDF, Word, PowerPoint, Excel, CSV, text, Markdown and image files. Google Docs, Sheets and Slides download as Word, Excel and PowerPoint, which Base reads directly.
Questions
Can someone outside my company use Gemini on a Drive folder I share?
Only through their own Google plan. Ask Gemini in Drive is available on Business Standard and Plus, Enterprise Standard and Plus, Google AI Pro and Ultra, and Google AI Pro for Education. A reader without one of those gets the files only.
Does Base keep the files in sync with Drive?
No. A Base holds its own copies. When a document changes, upload the new version; Base keeps the earlier one and re-reads the Base, and readers who follow it see what changed.
